Berri vs HubSpot Sales Hub: Building Blocks vs a Finished System

Your CRM can be spotless and still be wrong. Every record is deduplicated, every field is filled, every integration is syncing, and the deal you were sure about still goes dark. The renewal you never flagged is still gone. You find out in the pipeline review, when it is too late to do anything about it.

If you run on HubSpot, the natural fix is to build more inside HubSpot. This post compares Berri with HubSpot Sales Hub, the part of HubSpot closest to what Berri does, and shows where the work lands in each case.

The short answer

HubSpot gives you building blocks. Sales Hub, Service Hub, Smart CRM, Data Hub, and Agent Hub each cover a piece of the job, and a capable team can assemble them into a strong system. Your team decides what gets captured, defines the risk rules, wires up the integrations, sets the approvals, and maintains all of it.

Berri is that system already assembled. It captures conversations in the background, writes them into your CRM, flags the risks your company cares about, and follows up on the rep’s behalf. It works with HubSpot and with other CRMs.

Neither approach is wrong. The right choice depends on who you want doing the work.

What HubSpot Sales Hub does well

HubSpot deserves real credit here. According to HubSpot’s Sales Hub page, it includes:

  • Notetaker, which captures meetings automatically

  • Conversation Intelligence, which brings the voice of the customer into the CRM

  • Deal Progression, which analyzes transcripts, emails, and deal history to suggest CRM updates, draft follow-ups, and recommend next steps

  • Deal scoring and forecasting

  • A Prospecting Agent (Beta) that finds accounts and sends personalized outreach

  • Call tracking, email tracking, and Gmail and Outlook extensions

Around it, Service Hub lets customer success teams build customer health scores, Smart CRM includes a Data Agent that answers questions across your CRM, calls, emails, documents, and the web, and Revenue Hub surfaces renewal and expansion signals from billing and contract data. If you want your CRM to be the foundation and you have RevOps capacity to build on it, HubSpot is a credible choice.

Where the work lands on your team

The differences show up when you ask who does the work. The table below combines HubSpot’s public pages with answers from HubSpot’s own in-app Breeze assistant, which I asked about each limit (see the note on sources at the end).

What you want

What HubSpot gives you

What your team still owns

Everything logged automatically

Email logging for known contacts, Zoom meeting sync, Notetaker, calling integrations

Someone starts recording unless Zoom auto-records. A person who is not yet in the CRM is not guaranteed to be created or associated with the right deal.

Notes kept current per account

Deal Progression can auto-approve updates

Updates go to deal properties and overwrite existing values. A running history of notes per account needs a custom build.

Your company’s definition of risk

Smart Properties, customer health scores, workflows

Leaders define risk, RevOps builds it, and a named owner maintains it. There is no fixed implementation timeline.

Follow-up on every account

Prospecting Agent, sequences, Deal Progression drafts

Prospecting Agent automatic enrollment excludes contacts tied to open or closed-won deals and hands off when a contact replies. Deal Progression emails are drafts the rep edits and sends.

Text messages

SMS through Marketing Hub Professional or Enterprise plus an SMS add-on

Consent-based workflow sends, not one-to-one sales texting

Forecast from what was said

Forecasting on deal fields, plus an AI forecast in beta based on closed-won history

A forecast built from conversation evidence would be a separate model

Control per account

Review or auto-send per Prospecting Agent Play

No single switch that sets capture, risk, CRM writes, and outreach per account

HubSpot’s assistant summed it up itself: the realistic goal is low administration with controlled automation and exception handling, not a zero-touch system.

What Berri does

Berri sits on every call, email, and meeting, and logs what matters into your CRM cleanly, so reps are not left to do it. Specifically, it:

  • Captures email, video calls, phone calls, and in-person meeting notes, plus texts and Slack, across your Sales and CS tools

  • Combines those channels with historical and product usage data into one continuous picture of each account

  • Writes structured records into your CRM, keeps a running history and notes per account, and keeps customer data consistent across your connected tools

  • Identifies the buying committee and each person’s role from the conversations, and resolves those roles consistently across deals

  • Lets leaders define what deal risk and churn risk mean for their company, flags accounts that match, and runs the actions leaders set when a risk appears

  • Builds the forecast from what was actually said and done on each account

  • Surfaces account and risk detail to leadership automatically, so nothing is lost between the rep and the deal review

  • Acts on the rep’s behalf with emails, text messages, calendar invites, slide decks, and one-pagers, across new prospects, open deals, existing customers, renewals, and closed-lost accounts the rep is trying to re-engage

For each account, the rep chooses a mode. Auto Pilot acts without asking. Review and Approve creates drafts the rep edits, and Berri learns from those edits to write in that rep’s voice, which builds the confidence to move the account to Auto Pilot. DIY keeps everything manual. The result is that reps spend little to no time working inside the CRM.

What it costs

Berri sits on top of the CRM seat you already have. It does not replace it.

HubSpot’s published prices for Sales Hub are $100 per seat per month for Professional ($1,200 per year) and $150 per seat per month for Enterprise ($1,800 per year). Smart CRM features come with the seat. Building toward the full picture adds more: Service Hub Professional is $100 per seat per month for health scores, Data Hub Professional starts at $800 per month, and agents run on HubSpot Credits. HubSpot’s assistant said custom property updates in Deal Progression use 10 credits each. It also said seats, extra hubs, credits, implementation, and ongoing administration all need to be quoted separately.

Berri runs $600 to $1,200 per user per year.

The cost that is easiest to miss is the one in the last column of the table above: the admin and maintenance time to build and run the HubSpot version. HubSpot prices change often, so confirm current quotes with HubSpot before you decide.

Should you replace HubSpot with Berri, or use both?

Use both. HubSpot stays your system of record. Berri captures what never reaches it, writes structured records into it, and does the follow-up work on top of it. Switching CRMs would move the same gap into a new system.

Six questions to ask any vendor

These work on Berri, HubSpot, or anyone else. They get past the feature list to who does the work.

  1. If a rep does nothing for 30 days, what ends up in the CRM, what gets flagged, and what goes out to customers?

  2. What happens when someone on an email or call is not in the CRM yet, and how does the tool pick the right deal when that person is on several?

  3. Does a person have to start a recording, approve an update, or choose a deal?

  4. Who builds and maintains the risk definitions, and how long does it take?

  5. Can it follow up on open deals, existing customers, and closed-lost accounts, or only new prospects?

  6. When it sends something without approval, how do you audit it, stop it, and fix it? A sent email cannot be recalled, so ask what controls exist before the send.

Ask for a demonstration on a real account, not a demo account.

The bottom line

HubSpot gives your team the pieces to build a capable, configured system, and your team owns the capture settings, the risk logic, the approvals, and the upkeep. Berri delivers the finished system: capture, structured CRM records, company-specific risk flags, and follow-up that runs in the background, in whichever CRM you use.

The cost of guessing does not show up until the pipeline review, the QBR, or the renewal that quietly slipped. If you would rather see it coming, book a demo and we will run Berri on your own pipeline.

Stop guessing. Start knowing.

FAQs

Should I use Berri with HubSpot or instead of it?

With it. Berri works with HubSpot and with other CRMs. HubSpot stays your system of record and Berri writes structured records into it.

Can HubSpot do what Berri does?

Parts of it. HubSpot covers pieces of every capability on this page, and HubSpot’s own assistant rated each one partial against a full description of Berri’s capabilities. A capable RevOps team can build much of it. The difference is that your team builds, configures, and maintains it, and some pieces, such as running account notes, one-to-one sales texting, and an account-wide autopilot or review switch, would need custom work.

Is Smart CRM a paid add-on to HubSpot?

No. HubSpot says Smart CRM features come with every core seat you buy for another hub at the same edition, and it also sells Smart CRM on its own.

Does HubSpot capture calls, emails, and meetings?

Yes, through several configured paths: connected email, Zoom and other meeting integrations, calling, and Notetaker. Recording, consent, logging rules, and contact matching are set up and maintained by your team.

Does HubSpot flag deal and renewal risk?

It offers the pieces: deal scoring, health scores in Service Hub, renewal signals in Revenue Hub, and workflows you can build around your own definitions. Your team defines and maintains the logic. Berri flags the risks your company defines and runs the actions you set.

How much does Berri cost compared to HubSpot?

Berri runs $600 to $1,200 per user per year on top of your CRM seat. Sales Hub Professional is $1,200 per seat per year and Enterprise is $1,800, before additional hubs, credits, and implementation. HubSpot pricing changes often, so confirm current quotes.
